You will often want to copy your chart to another Windows application because it is part of a report and you have to write about it in some way or present it to an audience. There are two ways to copy a chart (or ay spreadsheet data) to a word processor:
The first of these is probably the easiest to use in most situations. Select the chart and then use Edit/Copy (Ctrl/C) to copy it to the clipboard. Then switch to your word processor, put the cursor where you want the chart to appear and select Edit/Paste (Ctrl/V).
Don't resize the chart as this will distort it.
To move a chart to any location on a page add a text box and copy the chart into it. The text will wrap around the chart to give you a reasonable standard of presentation. Place the text box on either the left or right hand side of the text, not in the middle with lines of text passing either side.
Alternatively, right click the chart and select Format Picture (or Format
Object in some cases). Choose the Wrapping Tab and set 'Square' and 'Both
Sides', adjusting these as necessary. (Wrapping doesn't always work.)
The second option uses OLE (object linking and embedding) to create a chart in the word processor which is linked to the data in Excel on which the chart was based.
To set up a linked chart select Edit/Paste Special and choose the Paste Link option. If the data in the spreadsheet on which a chart is based is changed the chart changes too and this goes for linked charts in a word processor as well. This can be useful if your data are likely to change but in many situations it is not necessary. Paste Special also allows you to paste the chart as a picture.
A linked chart can be edited inside the word processor by double clicking it; this calls up Excel and the data on which it is based.
There are two main options:
To carry out the first option select the chart and choose File/Print. It is advisable to use Print Preview first so you can check that the chart is correct in every detail before it is printed - printing it more than once on a busy network can waste a lot of your time. From Print Preview you can select Setup and change things like the header and footer or the margins.
To carry out the second option drag the chart to a suitable place on the worksheet and scale it to the required size. Format the worksheet headings and grids as you require (see below).
